SME administrative officer
In an SME, one person often handles quotes, invoices, suppliers, payroll and filing. The administrative officer holds that central seat: the whole company passes through their desk, and they quickly become the person the owner asks for a figure.
The desk everything passes through
Mornings belong to the sales flow: issuing a quote, chasing a proposal, invoicing what has been delivered. Afternoons shift to suppliers and cash — recording a purchase invoice, preparing a payment, keeping the expected-receipts schedule. On top come personnel files, filing deadlines and archiving, which look secondary until the day of an inspection. The decisive skill is organisation: knowing where every document is.
- Issue quotes and invoices, track payments and chase
- Record purchases, prepare supplier payments
- Keep a cash schedule and flag an upcoming deadline

The questions we get about this occupation
Does this role lead into accounting?
It leads there naturally, because it already supplies the raw material. The accounting assistant qualification, then the company accountant one, formalise the move. Many choose the other direction, towards executive assistance or administrative management.
Which tools must be mastered?
The spreadsheet above all, still the most widespread management tool in the region's SMEs, then invoicing software and a properly kept professional mailbox. The short advanced spreadsheet course usefully completes the qualification for anyone targeting this role.
Can the role be shared between companies?
It is a widespread arrangement: several small structures share one officer, two days a week each. The entrepreneurship programme then brings the useful frame — service contracts, pricing, invoicing.
