Onboarding a new joiner, recorded from day one

An onboarding pathway triggers on arrival, runs on a phone in about twenty minutes and leaves a dated record. It covers the organisation's common base, the role's risks and the procedures the person will apply in their first week.

The three layers of an onboarding pathway

An effective onboarding pathway is built in three layers, from the widest to the narrowest. The first is common to the whole organisation, the second depends on the role, the third on the site. The three stack without repeating.

    What everyone entering the organisation must know: general rules, digital hygiene, escalation paths, key contacts.

    Role risks and gestures

    What matches the actual role, with its assessment. A base without this layer leaves an incomplete audit file.

  3. 03

    Site procedures

    Your operating methods, local instructions and forms. This is the layer produced from your documents.

What onboarding leaves in your files

Every arrival produces a dated, named, exportable record. It serves an inspection, a personnel file, and answers the most frequent question on a site: « has this person, present today, been inducted? ».

  • The person's identity and attachment: department, site, originating firm
  • The exact title of the induction pathway completed and its version
  • The completion date and assessment result, with the threshold applied
  • The additional modules triggered by the role held
  • The timestamp of the export itself, so a statement can be dated

Why the short induction beats the long one

A twenty-minute induction completed by everyone on arrival day covers more risk than a half-day scheduled three weeks later. The short format fits the only slot that genuinely exists: the start of the job. Later layers are added over the first weeks.

Common base and escalation: what protects the person from their first hour on site.

The first week

Role risks and their assessment, once the role is actually held and therefore understood.

The first month

Internal procedures and tools, at the point where the person uses them daily.

Month three

The consolidation review: what is acquired, what stays open, what moves into the training plan.

Onboarding questions

Our workforce turns over a lot. Is this workable?

That is precisely the use case. Induction triggers on arrival and the result stays attached to the person: if they return six months later to another site, their history is already there and the same training is not paid for twice. On a rotating population, it is the scheme's most visible saving.

Can induction be completed before day one?

Yes, as soon as the person has their link. An induction completed the day before frees the first hour on site for what requires presence: the tour, equipment handover, meeting the team. It is the best use of the short format.

How do we handle people who have been in post a long time?

Through an update campaign, separate from new-joiner induction. It covers what has changed since they arrived: revised procedures, new equipment, updated rules. The format is short, the assessment identical, and the record produced joins the same file.
